Notice of records disposal freeze from USDA
Iowa State has received a notice of a records disposal freeze from the US Department of Agriculture (USDA). The notice requires ISU to “retain all paper and/or electronic records associated with [our] agreements, awarded by the Agricultural Research Service (ARS), Economic Research Service (ERS) and National Agricultural Statistics Service (NASS).”
As a result of this notification, Iowa State is under a legal obligation to maintain all records and documents (paper copies, electronic copies, email) relating to awards and agreements as identified above. This applies to hard-copy/paper documents as well as electronic records and documents regardless of where they reside. This obligation overrides the ISU records retention schedule.
Therefore, you must not destroy, modify or delete any records or documents that you or your unit may have related to this notice, including notes, documents, communications, expenditure documentation, reports, data, etc., for all USDA ARS, USDA ERS and USDA NASS agreements and accounts. This records disposal freeze is for all records related to funding received directly and flow-through funding received indirectly from USDA ARS, USDA ERS and USDA NASS.
